1. Folder Structure

The hierarchy is designed using a Functional-Numeric approach. This ensures that the most frequently used operational folders stay at the top of the list while maintaining a logical flow for the project lifecycle.

2. Naming Rules

To prevent “Version Chaos,” all files must follow the ISO-Standard Naming String:

[YYYY-MM-DD]_[DEPT]_[PROJ-CODE]_[FILE-DESC]_[V#.#]

  • Example: 2026-04-28_ENG_AURA_Antenna-Stress-Test_V2.1.pdf
  • Rule: Use underscores to separate components and hyphens between words. Never use “FINAL” in a filename.

Department Leads Full Edit/Delete within their specific numeric folder. Manager
Executive Team Full access to all folders including 00_ADMIN. Administrator

4. Maintenance Plan

  • The Friday 15: All team members spend the last 15 minutes of Friday cleaning their “Incoming” folders and renaming files.
  • Quarterly Archiving: On the first Monday of every quarter, the IT Lead moves projects tagged “Completed” to the 99_ARCHIVE folder.
  • Permissions Audit: Bi-annual review to remove access for offboarded staff or moved roles.

5. Risks

  • Search Friction: If staff don’t use the date-first naming convention, chronological sorting breaks. Mitigation: Enable “Enforced Metadata” fields in the storage platform where possible.
  • Folder Deep-Diving: Creating more than 4 layers of sub-folders makes files unfindable on mobile. Mitigation: Maintain a “Flat-ish” structure; use tags instead of deeper folders.
  • Shadow IT: Teams using personal Dropbox accounts because the main drive is “too slow.” Mitigation: Ensure high-speed sync and mobile app training for all staff.

6. Implementation Steps

  1. Day 1-7: Map current file inventory and identify “Dead Wood” (files not opened in 2+ years).
  2. Day 8-14: Create the new Skeleton Structure in the Shared Drive and set up Permissions Groups.
  3. Day 15: The “Great Migration”—Teams move active files only. Inactive files go straight to Archive.
